A better enquiry workflow for a one-person business.
From a new message to a booked client, without relying on your memory or eight open tabs.
The point of an enquiry workflow is simple: every enquiry should have a clear next action.
Before you automate anything, write the process down. An unreliable manual process becomes an unreliable automated one.
1. Capture the enquiry
Collect the information you actually need to decide what to do next. A name, a reply address, the service requested and a short description may be enough.
Give the person a clear confirmation after submission. If you say you’ll reply within a certain time, choose a time you can keep.
2. Put it somewhere you can find it
A tracker should store the enquiry, its status, its owner and its next action date. For a one-person business, the owner is usually you.
Useful statuses might be New, Waiting for details, Quote sent, Booked and Closed. Keep them specific enough to tell you what happens next.
3. Decide what happens automatically
A confirmation email is usually simpler to automate than deciding whether a lead is a good fit. You can keep the decision human while automating the admin around it.
Draw each step on paper and label it:
- Inside the app: storing the enquiry, updating its status and showing what needs attention.
- Connected service: delivering an email or adding an event to an external calendar.
- Your decision: checking the enquiry, agreeing scope and sending a quote.
That distinction stops an automation plan becoming a vague promise that “AI handles everything”.
4. Plan for failure
An email can fail. A calendar request can be rejected. A person can submit twice.
Store enough information to know whether each action succeeded. Show a failed action to the person responsible for it. A retry should not create duplicate bookings or send the same message repeatedly.
5. Close the loop
When work is complete, you might ask for feedback. Make sure the request is appropriate and the person has a way to stop further messages.
Start by building the tracker. Use it manually for a week. Automate the repetitive steps you can describe clearly, one at a time.
